This Privacy Policy explains how Sano AI ("Sano," "we," "us," or "our") collects, uses, discloses, retains, and protects personal data when you visit our websites, communicate with us, submit information through our forms, use the Sano Collect mobile application, or participate in an assigned Sano capture project.
Sano Collect supports assigned capture work. Depending on the assignment or capture profile, it may record video, audio when enabled, device motion data, and related task, device, consent, and capture metadata. Sano Collect presents a separate collection-consent step before a recording can begin.
A particular project, customer agreement, contributor agreement, consent notice, or other project-specific notice may provide additional terms. Where legally applicable, those terms also govern the relevant project.
This Privacy Policy applies to personal data Sano collects through trysano.co and related Sano websites, Sano Collect, communications with Sano, and assigned capture projects.
"Personal data" means information that identifies, relates to, describes, can reasonably be associated with, or can reasonably be linked to an individual, as defined by applicable law.
This Policy does not govern the independent privacy practices of organizations Sano does not control. A project customer or other authorized recipient may have its own privacy obligations for information it receives under a separate agreement.
When you email Sano or otherwise contact us, we may collect the contact information and message content you choose to provide.
When you submit an available contributor or application form, we may collect information such as your first and last name, email address, phone number, state, and other information you voluntarily provide in connection with participating in Sano projects.
When you submit an available facility-partner or business form, we may collect information such as your name, business email, phone number, role, business name, business address, facility type, workforce information, services offered, estimated available collection hours, authority to approve recording, and other information you submit.
Assigned Sano capture projects may collect video recordings, audio when enabled for the applicable capture, visual or audible information about the recorded environment, and metadata or characteristics associated with the capture.
Sano Collect may collect accelerometer and gyroscope readings, sample timing, measured sample rates, device-axis motion data, and related sensor information recorded alongside a capture.
We may collect assignment and capture-profile identifiers and titles, environment labels, consent version and consent timestamp, recording and completion timestamps, recording duration, and related workflow metadata.
Sano Collect may use automatically assigned account or owner identifiers, capture-session identifiers, storage-object identifiers or paths, and other identifiers used to keep captures separated, attributable to the correct account or session, and recoverable.
We may collect device platform and model, application or service status, upload and processing status, file sizes, sensor sample counts, and similar technical information necessary to operate, secure, troubleshoot, and improve the service.
Sano's hosting, infrastructure, form-processing, database, storage, authentication, and other service providers may process standard network information such as IP address and request information when you connect to Sano services.

Sano may disclose personal data as reasonably necessary for the purposes described in this Policy, an applicable project, or applicable law. Categories of recipients may include:
Sano Collect is not designed to serve third-party behavioral advertising or to track contributors across unrelated apps or websites for advertising. Sano does not use capture content for third-party behavioral advertising.
Some privacy laws define "sale" or "sharing" more broadly than an exchange for money. If a project-specific disclosure constitutes a sale or sharing under applicable law, Sano will provide any notice, choice, or opt-out mechanism required by that law.
Where permitted by law and contract, Sano may create aggregated or de-identified information from personal data. Sano may use and disclose information that is not reasonably linkable to an individual for legitimate business, research, quality, security, evaluation, analytics, and product-development purposes.
Where applicable law requires de-identified information to remain de-identified, Sano will not attempt to re-identify it except as permitted by law.
Sano retains personal data only for as long as reasonably necessary for the purposes for which it was collected. Retention periods may vary by project and data type.
In determining retention, Sano considers the type and sensitivity of the data, applicable project and customer terms, upload and integrity verification needs, processing and quality-review requirements, source-lineage and audit requirements, security needs, legal obligations, and dispute-resolution requirements.
When personal data is no longer reasonably needed for an authorized purpose, Sano will delete or de-identify it as appropriate, subject to applicable legal holds, contractual requirements, security and audit obligations, and normal backup-expiration cycles. Sano may retain limited records necessary to document consent, rights, security events, privacy requests, or compliance obligations where permitted or required by law.
Sano Collect preserves original source media on the device until server-side upload and registration are independently verified and the applicable retention rules allow deletion. Sano Collect does not currently automatically delete local source media immediately after upload. Contributors should retain local source media unless Sano Collect or applicable project instructions affirmatively state that it is safe to delete.
You may request information about the retention period that applies to your data or request deletion by contacting hello@trysano.co. Sano may need information sufficient to verify the request, identify the relevant project or data, and determine whether Sano or an applicable project customer is responsible for the requested action. Sano will delete or coordinate deletion where required by applicable law and contract.
Data contained in backups may remain until those backups expire through normal controlled backup-retention cycles, subject to applicable legal, security, and disaster-recovery requirements.

To submit a privacy request, contact hello@trysano.co. We may request information sufficient to verify your request and identify the relevant project, application account, or capture data. Do not send Sano passwords, authentication tokens, private keys, or other account secrets.
Sano uses administrative, technical, and organizational safeguards intended to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, authentication and authorization, encryption in transit, private-storage controls, integrity checks, auditability, and procedures designed to limit access to authorized personnel and systems.
No method of transmission, storage, or processing is completely secure. Contributors should also protect their devices and follow project instructions concerning what may be recorded.
Capture content may include people, voices, objects, documents, screens, homes, workplaces, or other details about the recorded environment. Contributors should record only where authorized and should follow assignment instructions, collection-consent requirements, and applicable law.
Sano's current contributor flow instructs users to avoid bystanders, private documents, sensitive screens, and other information they are not authorized to capture. If you believe Sano has received content about you without appropriate authorization, contact hello@trysano.co.
Sano Collect and Sano's contributor programs are intended only for individuals who are 18 years of age or older. Individuals under 18 may not register for or participate as Sano contributors.
Sano does not knowingly allow individuals under 18 to use Sano Collect as contributors. If you believe an individual under 18 has provided personal data to Sano through a contributor workflow, contact hello@trysano.co so we can review the matter and take appropriate action.
Sano and its service providers may process personal data in locations other than the place where you live. Where required by law, Sano will use appropriate safeguards for cross-border transfers of personal data.
Sano may update this Privacy Policy from time to time to reflect changes in our websites, Sano Collect, project practices, legal requirements, or privacy controls. When we make material changes, we will provide notice as required by applicable law and update the effective date above.
A policy update does not by itself expand Sano's rights to use project data where a separate contract, project term, consent requirement, or applicable law limits that use.
